You will get an Advancement Report out of Scoutbook that you will bring to the Scout Shop. It looks similar to the Internet Advancement report and you handle it the same as you do the Internet Advancement report you have today. We have a little more information on the Sync on the forums here:

How is this sync going to handle discrepancies between Scoutbook and Internet Advancement? For example, now that Scoutbook supports the Lion program, we went in and retroactively awarded all of the Lion items to last year's Lion Den. However, I'm sure the dates don't match the official record.

Also, if we have the BSA ID entered for the scout, does the Name still have to be an exact match in order to sync?

I would have to agree with Mr. Tillman, we need to be able to manage the Scout by BSA ID, instead of Name, Birthday etc. It take so much time to work those issues out between Scoutbook and Internet Advancement. The BSA is losing so much money on this old paper system to register scouts, would love to see registration thru Scout Book someday.

The person that we have doing our Troops internet advancement uses Scoutnet for all updates and has not really gotten into the whole Scoutbook thing yet. Now I know you say we no longer have to export/enter data into Internet Advancement and I think that is great, but what if she wishes to continue to do it the old way? I'm assuming at some point you are going to retire Scoutnet, but for now can she continue to use it.

For the foreseeable future, it will be up to your unit to decide when to enable the two-way sync.

Since I'm new to using Scoutbook, this update is to properly record the "SCO" course numbering system into Scoutbook records so that people properly show as being trained? Presuming this is so, thank you.

One issue we have is that once Scouts have a birthday scoutbook and ia is out of sync because they are in different groups. Does this fix that?

Two-way sync is just that, two-way from Scoutbook to Akela and Akela to Scoutbook. There is another connection from Akela to ScoutNet (Internet Advancement).

The current capability is only from Scoutbook to IA via an upload file but once the two-way sync is enabled, if a council updates ScoutNET, those changes will push to Scoutbook.

Outstanding, this is the single biggest missing item from Scoutbook since it's start.

Richard W. No this update is only for syncing Youth Advancement records. Adult Training will be addressed separately. I do not know when that update will be worked on or released.

So are we supposed to do anything to sync them ? Our 11 year old scout leader was trying to input some copleted items and it will not let him. It comes up with a message that says that these boys need to by synced.......thoughts? help?

Wearing my hat as a registrar. The application calls for legal name. That's what is in Scoutnet, and Internet Advancement. BUT, James Theodore Whatever goes by JT. And that's what is in Scoutbook, or on the paper advancement report. There is no JT on the roster. The match won't happen, the advancement doesn't get recorded. Using ID number, the match happens, and the world of registrars is happier.

There is a nickname field under each person's profile. It will still sync as long as you use this.

Will birthdays in Scoutbook still be required to properly sync with Internet Advancement?
When I initially synced 55 scouts into SB (or manually added those that did not sync), not all birthdays loaded.
I have not been able to successfully upload a csv into ScoutNet. Thanks and hats off to your developers!

ScoutNET import now loads (and corrects) DOB. Setting up sync should correct them as well.

Patrick, yes, you will still need to print and take the advancement report to the Scout Shop. Once sync is enabled for your unit, the Advancement Report button on the Purchase Order page will produce a report you can turn in. It will have a Scoutbook logo on the bottom so Scout Shops will know the data is in Akela.

When setting up sync, Scoutbook will correct incorrect DOB (or you can do a ScoutNET Roster import now and it will correct them). All active scouts in Scoutbook must be matched to your roster in ScoutNET in order to activate sync.

Quick question will partial MB be included in the sync ? I've deactivated some scouts I know have moved and lost contact with but keep their service records within scoutbook for advancement. Used to archive them in troopmaster where they could be recovered. Thanks

Only scouts on your current ScoutNET (Internet Advancement) roster will sync. Sync only records final completion of awards and rank, not partials. Partial completions will continue to be tracked by Scoutbook.

I was wondering about this.. we have Scouts who drop during the year, so I take them out of the Dens and Pack in Scoutbook, but they are technically still on the rolls until the next recharter. Will they show back up, but just not approved, so they don't count against our sub?

Chris, what we recommend is moving these scouts to an "inactive" den and editing their profile then clicking "Disapprove Position". This will remove them from your subscription but allow you to get them back should they return.

If I get my sons BSA member number and sign him up for scout book and do a sync will it pull all his awards and merit badges etc from the council system?

Brian - the sync is a unit based feature and not individual. Additionally it will be pilot units working sync at the beginning. What currently exists is roster import which you may be referring to and again that is unit based as you would need the id and password for internet advancement.

Question - we have heard they are no longer going to be supporting ScoutBook and it will be going away. This post seems to counterdict that statement greatly. It seems there is still investment and time going into ScoutBook to make it better and more useable for our scouting committee?

This is not correct. Scoutbook is being enhanced by the BSA. Scoutbook is the BSA's supported, unit management tool.

Question: a scout in our Troop is about to submit his Eagle paperwork; we would like to update his advancement info with correct dates, including sign-offs in each rank. How do we change his previous rank requirements to the old "book" view? Everything showing is the new 2017 requirements. Thanks.....

A.J., there is a tab at the top of each rank and merit badge where you can select the version (year).

Liam, I think that depends on the context. You may need to show a version of the advancement report from Scoutbook at the scout shop in order to purchase certain restricted awards. That would just prove to them that the awards are already entered.

If you've been sending hard copies instead of using Internet Advancement (and someone at the district or council enters them into Internet Advancement), you shouldn't need to do that anymore. I say "shouldn't" because it's hard to say the purpose of that and what rules a district or council may implement.

Liam, you will have to ask your district that question. Many councils have a policy of requiring a signed paper copy of the advancement report before purchasing restricted items at the Scout Shop.

I think I missed the opportunity to join the beta on the advancement - I seem to recall an e-mail or something about that...

Also does Akela database have the ability to keep track of partially finished MB's - My understanding is that it only marks the completion. If a scout transfers to a new unit that isn't using scoutbook, the IA website would show their completed MB and ranks based upon BSAID, but not their partials (unless this update changed that ?? ) . If I remove the scout due to inactive status with our troop, how can the records be recovered ?? I've deactivated 10 or so scouts and put them in a seperate patrol to keep track of them until they age out in case they pick up with another troop upon moving etc.

Is this still only set up for the pilot units? Or is this now functional for all units?

Hope, the advancement sync is still in pilot testing with a small number of units.

Posting here since I believe the issue I am having is roll out related:

I just tried to enter Shooting Sports awards for our Scouts who earned them at Day Camp and got an error that they need to be set up for sync first, which can be done in their account profile. I looked and could not find anywhere to set it up so I Google'd and found this thread (BTW, Google seems to be able to find Scoutbook thread topics better than searching in Scoutbook....). Is there anything I can do, or do I just need to wait? I strongly prefer to get all the data entry for awards done right away so things don't get forgotten or missed and our Awards Chair can stay up on the purchase list and how much money is needed in our Scout Shop account.

What is the ETA for this to be fully deployed? If it's only available to pilot groups then it's not really production.

So.... is this happening or not?? Cuz trying to get a csv to upload to IA is a real pain... In fact, I still can't get scoutbook to generate one. 3rd party apps are great unless they don't work. At this point the only thing I can figure to do is to just refuse to let our unit use scoutbook. It isn't worth the hassle!

When is this going to be a go?

We had a couple of younger Scouts that got caught in the middle of the conversion to the automatic sync. They existed in Scoutbook, but did not get transferred over from Cubs until after they achieved some advancement in our Troop. The bottom line is that there is advancement data in Scoutbook that has not been updated in the Council database for these Scouts.

Is there a way to force an update to happen so that the council database gets the recent data for these Scouts? Can I un-approve and re-approve to get the data to sync?

SCO_217 How Internet Advancement Works to announce that in addition to PackMaster(c), TroopMaster(c), and ScoutSoft(c), Scoutbook also has this functionality

How do you track boys whose records aren't in the main BSA system yet? Here's the situation--a boy joins, we fill out the paperwork, we submit it to the district, they submit it wherever, and it is quite some time (at least a month, sometimes more) before I hear back that the boy is officially in the system and I have his ID# in order to set up the sync. In the meantime, however, he is attending den meetings and making progress. The den leader can update his scoutbook record, but cannot advance him. I have one boy who earned his Bobcat the very first week!

The sync went well when first setup, with data batch dump from IA to Scoutbook. Now that I try to update records in Scoutbook and update IA, I get sync messages that won't allow it. Something is not addressed apparently in syncing in reverse. This forum promises great things, but my position of poor documentation in Q & A makes me wonder if I'm the only one having this technical dilemma. Where are the details about sync troubleshooting?

I put all my Scouts Rank and awards in Scoutbook and they still aren't updating in Scoutnet. Is there something else I should be doing?

Does Scoutbook import data from ScoutNet's Internet Advancement or just the other way around? All 8 scouts in my den have completed certain Adventures (which I recorded in IA as we went along) but Scoutbook is not showing any of the information and I don't want to have to re-input every single requirement for every scout! Our pack is excited to start using Scoutbook - Thank you! :)
