I know many of you have been wondering what is going on in the Scoutbook development world.  So, what is on the schedule for 2017? 

The Scoutbook team is still releasing new functionality and bug fixes every Tuesday and Thursday morning at 10 am Central Time.  As a reminder; there may be short downtimes associated with these releases with communication regarding what was changed to follow.    Additional releases will be completed as needed to improve or correct the User experience.

We have made great progress on the Scoutbook Advancement Record Sync with Internet Advancement. We are in the final stages of testing.  This project will be implemented in Feb 2017 for several pilot units.  Once those units have verified that everything is working smoothly for them we will communicate the steps you will need to take to get your unit ready and setup for the sync process.  Once your unit has been setup you will no longer need to export/enter data into Internet Advancement; as advancement records will be update between the systems automatically.  Look for more information within the next few weeks regarding this roll-out!

There are several large initiatives we are looking to implement in 2017.  These projects are listed in no particular order as priorities are subject to change:

·         Enable Exploring Subscriptions

·         Membership Validation

·         Single Sign On (between SB and other BSA Applications)

·         Unit Renewal

·         2017 JTE Requirements built into Calendar/Event modules

·         New Mobile Scout Experience

    I hope you still plan to add/update some awards also, specifically Shooting Sports for Cub Scouts, International Spirit Award, Adult Awards (training knots etc), improved support for religious emblems (at least a way to mark when more than one level is earned), Pack Awards, and Den Awards?

    Carrie - yes we do plan on adding/updating awards. Those are just the high level projects. We have a lot of smaller items that need to be finished up that are on the list as well.

    Are there any of the 'smaller' items on the calendar / event module? I know it gets asked about by many users, but active units use the calendar process so much that even small changes can generate a lot of good will.

    Dennis - yes we have several smaller calendar/event items in our backlog we will work on those between these larger items.

    Richard - we can add the ability to add attachments. I'll put that in on the request.

    Llona - same for RSVPing - we will look into what we can do there as well.

    We will try and push these types of changes in as we can! We appreciate the support and feedback!

    Ability to set an adult leader to the main calendar. Allow for comments/comment changes and RSVP to be sent to the leader.

    I would like to see the possibility for when new scouts are added, they are automatically invited to calendar events so I do not have to go in and add them to each event individually. Also allowing to add recurring events, but able to delete just one event and not all events that are recurring.

    One thing that I see with scoutbook is no automatic date verifications. The system should be linked between all actions such as camping, service and hiking with the rank advancement prompts so that once the action is committed to a specific rank advancement or MB, it could not be reused unless it is allowed as a double tap. Also the rank advancement items should automatically flag if there is a date validation issue if the date entered was not within the required range. Another issue is the display of fully trained. I am fully trained but yet the trained badge does not appear on my profile.

    Thank you for the update.

    There may be things we can prepare for even before the "steps you will need to take to get your unit ready and setup for the sync process." It might be useful, for example, for troops to complete advancement usually done just before a Court of Honor a little early so that nothing is open and more at risk of complication. In other words, there might be things on our schedules which can be accommodated if we know well ahead of time what could be affected.

    To make sure your unit is ready for the Scoutbook Advancement Sync, do the following:

    1) Make sure all Scouts on the roster are registered in the unit and have their current BSA Member ID in their profile.
    2) Make sure there are no duplicate Scouts on your roster in Scoutbook.
    3) The person who will be setting your unit up for the sync needs to be: a unit key 3 member (Unit Leader, Chartered Organization Representative or unit Committee Chair) or Scoutbook Unit Admin (who is registered in the unit.) They will need to verify their My.ScoutingTools login credentials so they should check that they can log in at http://my.scouting.org.
    4) Make sure the First Name, Last Name and Date of Birth of each Scout matches what is in Akela and Internet Advancement (aka ScoutNET.) A unit key 3 member (CC, unit leader, or COR) or delegate can use Member Manager in My Scouting Tools to see what First Name and Last Name are in Akela and Internet Advancement. Member Manager also has the birth month and day. The year can be computed by printing the Youth Member Age Report in Member Manager.
    5) Keep your unit’s Purchase Orders up to date in Scoutbook.

    Is it possibile to pull Scouts from one troop to another when they move, instead of hand-jamming the data? Also, as you purchase awards, can that be accessed for each boy if their troop isn't using scout book?

    Hi John. Yes you can transfer Scouts from one unit to another without losing any of their data. There is a good FAQ in the forums. Just search for the keyword, transfer.

    Is there an easy way to make a scout that has aged out a leader? We have tried doing this and it has not worked. It created a second account basically for our troop. The system will not allow me to add him because his email is associated already with his scout account.

    It is great to see both the recent frequent updates over the last couple of months and the large projects in the pipeline. In addition to items others have mentioned, a couple of things I'd like to see -

    1) the ability to add Boy Scouts (that have a Troop Scoutbook account) as Den Chief in a Cub Scout Pack Scoutbook account (single Scoutbook account for the boy scout) so they can see Pack events
    2) Ability to give a Boy Scout calendar admin editing rights
    3) Update the Boy Scout Nova and Supernova Awards

    Also, as others have also volunteered, both the pack (1191) and the troop (460) I am working with would be interested in testing out the Scoutbook Advancement Record Sync with Internet Advancement.

    I agree with Greg Gotcher's question. What about reporting? I have read a lot of threads from 2 years ago promising upgraded Advancement reports that actually contain the full advancement picture the a scout, etc. Do you need additional developers? I am happy to donate my time to help out on some of this stuff if possible. Reporting is huge for parents and the ability for all reports to launch is a .pdf and not an on screen format is huge. Not everyone uses Chrome, so having them all generate .pdfs is the best multi-browser solution.

    Bill, a major obstacle for den chief capabilities is mult-unit membership for youth, which also happens to be the major obstacle for varsity/venturing/exploring. So, that bodes well for getting that.

    Getting all official national awards is also something that we've been told will be worked on.

    Tiffany, here is my non-technical understanding of the two projects you asked about:

    1. Member validation = ensuring all BSA databases have the same info on scouts and scouters
    2. New mobile Scout experience = offline capabilities for scouts

    There may be some nuances of the definitions that can be picked at, and Scoutbook may not go 100% to goal state in a step, but that should give you a basic idea.

    Is there any effort to have the attributes of a Scouts account auto-populate into rank/merit badge/award requirements? As an example, if as Scout shows to have 20 nights of camping logged, it does not auto-populate the 20 nights of camping required for the Camping Merit Badge. Another is that by passing the BSA Swim Test or even earning the Swimming Merit Badge, the aquatics requirements for Second and First Class are not filled in. Service hours would also be helpful in auto-populating for rank advancement.

    Additionally, is there any effort into creating the ability to log events Scouts participate in, but not camping nights? This would allow for easy and quick verification for the first requirement for both Second and First Class ranks. An example would be logging attendance for a Saturday Troop First Aid class which now logs 1 event for the Scout. Then attendance for a campout logs a second event to aid in reaching the 5 or 10 needed for each rank.

    Finally, has there been any progress in allowing Admins to move Scouts to Adult status? This would help out tremendously as many of our Scouts haven't created accounts yet and many parents are still learning the new system, so they haven't even done the request email option under the edit profile, let alone have the Scout log in so the Scoutbook Admin can move them at a later time.

    Auto population is a two edged sword. For example the 20 nights of camping for the Camping MB isn't just 20 nights, it is:

    a. Camp a total of at least 20 days and 20 nights.* Sleep each night under the sky or in a tent you have pitched. The 20 days and 20 nights must be at a designated Scouting activity or event. You may use a week of long-term camp toward this requirement. If the camp provides a tent that has already been pitched, you need not pitch your own tent.
    *All campouts since becoming a Boy Scout or Varsity Scout may count toward this requirement.

    Often it is better if a Scoutmaster or other leader confirms that Scout did the requirement. Remember, the requirement isn't that a computer said you did this and that, the 4 steps to Boy Scout advancement are:

    1. The Scout Learns
    2. The Scout Is Tested
    3. The Scout Is Reviewed
    4. The Scout Is Recognized

    Step 2 is the responsibility of the Scoutmaster, not a computer.

    Can we get a request of better connection management similar to that of Active Directory Groups? I'm not sure how everyone else manages scoutbook, but I generally don't like handing out "Troop Admin" as this gives unnecessary control to a lot of people. We can do Patrol Admin, but then I would have to give 5-6 patrols for every adult. It would be nice to have some type of custom control to be able to mass permission SM's/Committee Members to allow them edit everyone's Awards, Merit Badges, Rank Adancements, etc with the exception of their own child.

    I'll second or third the discussed complete revamp of Report Builder. I'm not sure why that didn't make it into the top priorities as it's a big feature. Previously Scoutbook said you had a user group revamping the entire thing? Is that still happening?

    Is it possible to get better reporting? I like what there is currently but I also would like the ability to export the report in MS Excel or even as a .csv file or a txt file. A MS Word file would also be ok.

    Would like to see integration with SOAR as they've added the ability to nest Scoutbook within their portal so you can have both advancement (Scoutbook) and website/calendar/registration/email engine of SOAR in one screen/session. Specifically generate a SOAR.xfr file export from Scoutbook for import into SOAR websites so that the email alias, email grouping tools, calendar, event registration, etc of SOAR can use the data. We are also looking at integrating slack into our messaging mechanism as enabler for instagram, text, email, facebook, etc.

    Are there any plans to incorporate "E-trail to eagle" into Scoutbook? Our troop used to use E-trail until this year. I would love to be able to transfer all information over to Scoutbook without printing EVERYTHING out and manually putting it in. Thank you.

    Rick, there are no plans. Our recommendation is that you make sure your troop has Internet Advancement up to date and then do a import from Internet Advancement. That will bring in the rank dates, awards and and a lot of the Scout information. You will still have to enter the adults by hand. But it is better than typing it all in.

    Margaret, the best way currently to print reports from report builder is to download the Chrome Export Scoutbook extension. You can find it in the Chrome Extension store by searching for Scoutbook. When you have a report builder report loaded, its icon will turn green and yellow. Click the icon and it will export your data as an XLS file that you can print from Microsoft Excel or Google Sheets.

    The Scoutbook forums are the best place to go for help. If the problem you are seeing is Duty to God Footsteps not auto completing when requirement 1 OR 2 plus 2 others are complete, this is a known issue. You can manually complete the adventure by clicking on the box next to Percent Completed and fill in the completion date.

My intent was, if a scout's previous troop was not using scout book, If I create a record for them, is there away to 'pull or see' the awards they previously earned? Or is it a matter of calling the old Council office and having them generate a report based on the achievement submitted for that boy?

    Dear Scoutbook can you please add Lone Scouts and Lone Scout Counselor to the choices and in the profile page so we can utilize SB correctly. Also as mentioned in another forum can you add Lone Scouts as a separate forum board. This would not only let scouts and scouters communicate more efficiently but our comments and concerns wont be lost in the plethora of posts that are currently up.

    I am a leader and committee member. Today I Sync'd my training with Scout-net. At the bottom it had a check box and without really reading the box I checked it. Now I don't show up on any of the Leaders or Trained Leaders Reports. Where did I go, and how can I fix it?

    Rick, are you doing this from "Edit My Training" or the "Trained Leaders Report?" I don't get a checkbox like that with either option. Do you also not show up on the Roster? Can you get back to the "Edit My Training" page? Is it accurate?

    I am really interested in the reporting function improving. For example rank specific camping nights. this could also help with OA election team information as well as camping merit badge ect. Keep moving on those improvements. Reporting and printing of reports or PDF output would also be great. thanks

    Good morning. We are new to Scoutbook and was wondering if there is a way to print the events in a calendar view? Also, is there a way to post files for others in our troop to view and download - such as procedures, guidelines, etc? I hate to have to use another system to take care of these items, so was hoping they were here and I just don't know how to access that part.

    I would really love to be able to have the Cub Scout Advancement Records updated and working. They are still showing the Pre-2015 program. This is the link on each individual cub's page that says for example Johnny's Cub Scout Advancement Record. I want an easy way to print out the one page which lists all of their cub scout advancements and dates. I know that the equivalent link for Boy Scouts is working just fine. Also - the link just below it which promises a pdf version of the cub's advancement is currently just linked to the BSA forms web page.

    I would love to be able to keep track of camping nights in such a way that a scout can indicate if he pitched his own tent. Something like the addition of a radial button or asterisk next to camping days would be great.

    Ranks such as First Class require keeping track of the number of troop events participated in. However, First Class, Order of the Arrow, and Camping Merit Badge require one to be clear in the number of camping nights where a scout pitched his own tent.

    If you use the camping tab for everything, you can include notes about whether the scout pitched his own tent but you have to click open each entry to read the notes and the total number of camping days is incorrect.

    If you use the camping tab for just nights where you pitched your own tent, then there is no where to keep a complete log of all the activities you participate in.

    Another suggestion to resolve this problem would be to add another tab near camping and hiking for "other events".

    Any improvements in this area would be appreciated.

    I was just wondering if there are any plans to allow text formatting, bullets, hyperlinks, etc., when making calendar entries.

    Also, I saw that a couple people asked about adding attachments to calendar entries, and that would be awesome, too!

    The Scoutbook Calendar is such a major step backwards from what we were using in the past, that generating discussion in our Troop whether we should abandon Scoutbook entirely and return to other options. Most of the items you list as high priorities seem important only to council bureaucrats, not scouting volunteers. If you'd like to make Scoutbook better for Troop and Packs, you should make improving the calendar a much higher priority.

    Can someone help me understand what happened to my troops calendar. We have lost the ability to edit some events. Not all, just some. I am a troop and patrol admin and I am the Committee Chairman. It doesn't make sense to me how this happens. Even events I added I can't edit. Adding attachments are critical in my opinion. Also auto adding scouts that join to events on the calendar is also important.

    On another note- I had units leave scoutbook because it will not take payments. If we can get a function that will allow parents to make payments to the unit (Credit Card) that would be awesome!

    Hello there. When will the new changes to Cub requirements (announced in December, enacted in January) be reflected on Scoutbook? i.e. the "Bear Addendum" was released in December, changing "Baloo the Builder" to a bear requirement, and bumping "Grin it and Bear it" to an elective. This isn't yet reflected in Scoutbook, and it thus shows Bear Scouts as 89% complete if they are in fact finished according to BSA's new requirements. If possible to get this updated quickly, that'd be highly appreciated!! Thanks!

    Michael, the Cub Scout requirements were updated in Scoutbook in December about 12 days after the modifications were announced. What den leaders need to do is go in and select the version (there is a toggle to select the year (2015 or 2016)) for the rank(s) and also for the adventures. Adventures that had not been started yet should default to the newest (2016) version. If you have any more questions, please ask in the forums.

    Chuck, the JTE report is not available in Scoutbook yet.

    The development team is working on Venturing now. Once they have the code in a state that it can be tested, the SUAC will test the code and report back bugs to be fixed prior to release. We are probably talking a few weeks out before it is released.

    Hello do you know if there will be an easier way to view the attendance report? As it is now you have to count what line the scout is on, scroll to bottom to move the months, scroll to the top and line count to the scout and then scroll back up to read the date. It is a TON of work when an export report feature would totally solve this issue. This would give leaders the ability to see the report laid out in full vs the current option. Thanks!

    Does anyone know how to extract a copy of the calendar? I'm trying to build my Pack flyer and I spent all of this time building a calendar in ScoutBook but it won't let me drag and copy, there is no export, there is no report. It's quite frustrating as I am thinking I have to type it all over again in another software just to make it usable for recruiting.

    Glenn, one thing you can do is use the Send Message feature. Then select "+ Insert Upcoming Events". That should give you a list of all your units upcoming events up to 12 months out.

    Another option is to use the iCal URL and import the .ics into Google Calendar. Google calendar has an option to Print.

    I see there is a "quick entry" concept for completing merit badge requirements, however, as a Merit Badge Counselor, that only "completes" the requirement, but it doesn't "approve" it. The distinction being that when printing blue cards, if it isn't approved, my initials don't get populated even though the requirement is "complete". Any recommendations? Or can this be an option for quick entry (to approve as well as complete)?

    Many have mentioned in the forums the capability to create our own group for the calendars. Our pack has all of the district training listed on the calendar which has made the calendar very messy. We would like the ability to filter out these items for anyone other than the identified leaders or provide as a separate subscription.
