As most of you know, Bob Scott, the Director of Scoutbook, has retired from the Boy Scouts of America this past week. As with most Scouts and Scouters, he will never fully get away. Thank you, Bob.

That being said, what is the “next chapter” for Scoutbook then?

Scoutbook’s growing development team is now shifting gears. Major performance issues are in the rear-view mirror. The BSA I.T. team has been preparing BSA’s Internet Advancement system to begin sharing data with Scoutbook and is now much closer to finalizing their part of the “Advancement Sync” project. Among many other development plans, the Scoutbook team will start testing and rolling out that functionality. This will work toward a day when both systems finally “Sync” and then the BSA will be able to move away from legacy systems currently in place. Advancement sync can then move into membership sync, etc. As Scoutbook’s future progresses, there will be many teams within the BSA supporting these efforts.

User support, communication, and training is growing much faster through the expansion of the volunteer efforts of Scouters across the BSA. The Scoutbook team is utilizing the volunteers on a Scoutbook User Advisory Council (SUAC) to help field questions, respond to blogs, and take the lead in the testing and implementation of new Scoutbook features and bugs. Forum Support volunteers of this group will be identifiable within the Scoutbook forums by a SUAC icon. Many volunteers of the SUAC will still support Scoutbook users in other ways. This group has been and will continue to be invaluable to the support of Scoutbook.  Their end user knowledge and close connection with the Scoutbook team at national help them serve and support end users with up to date pertinent information.

So, what is on deck for Scoutbook development?  The Scoutbook Team is working to release new functionality and bug fixes on Tuesday and Thursday mornings at 10 am Central Time. There may be short downtimes associated with these releases. This schedule will allow sufficient time to prepare corresponding Change Logs to be posted with each release. Additional releases will be completed as needed to improve or correct the User experience.

The two largest initiatives are still the automatic Scoutbook Advancement Record Sync with Internet Advancement and the conversion to multi-unit profiles for youth. (The latter would enable subscriptions for Venturing, Varsity, Exploring, and Sea Scouts as well as add the ability for a Den Chief to be included in the Pack in which he or she serves. A Scout would also be able to correctly register to multiple units when needed.) As these initiatives are developed and tested, Cub Scout Shooting Sports is progressing and any 2017 Advancement changes will be addressed as they arrive. Resolving the training validation issues for the training module for Leaders, Youth, and other adult members is also an upcoming priority. Also on the horizon is enabling a quick-entry feature for the Payment Log that will support multiple Scouts and multiple events. The volunteers of the SUAC will continually interact with the Scoutbook user base to encourage user-informed development paths. As these initiatives are completed, integrating an enhanced reporting ability will be addressed as well.

    Matthew, there are file formats that the data can be manually loaded into for Scoutbook. You can also be sure to upload everything from ScoutTrack to Internet Advancement and then use the ScoutNET import in Scoutbook to get the youth data into Scoutbook. Unfortunately though, ScoutTrack changed their data files and their files will not allow the data to be moved to Scoutbook. There are some guides on importing into Scoutbook at bit.ly/scoutbook

    Glad to see the reporting deficiency is at least being acknowledged. When will we ever see an Aquatics or Adventure log that supports the N.O.A. awards? Or J.T.E. scoring? I'd trade any of those for that payments log.

    We moved from scout track to scout book this past summer and only really old awards moved over. I took over 20 hours hand jamming all the other awards. (94 Scouts) So moving is a little difficult. Keep your head up but scout track had A WAY better advancement section. Scout Book is beyond frustrating.

    Any chance of an app? I've heard that Scout book is optimized for mobiles and it's pretty easy to use on my phone over all... but it's frustrating to have to keep signing in every time I need to use it and on some evenings that's a lot! An app that lets you stay signed in would be awesome!

    Amanda, there have been many discussions on why there is no plan to make a Scoutbook app. The costs to support an app on multiple platforms with multiple operating systems is significantly more than supporting a web site that runs well on mobile devices. The 30 minute timeout was dictated by the BSA security team and even if Scoutbook were an app, the chance of requiring a logout after being idle for 30 minutes is high.

    It sounds like you may be using an iOS device with Scoutbook setup as a Web App (icon on the home page). If this is the case, you are being forced to log in each time you re-enter Scoutbook due to the way Apple implemented session cookies. If you access Scoutbook directly in Safari instead of via an icon, you will not have to log in every time you go back to it. Yes, you will lose some screen area, but you can switch to other apps and not be prompted to log in again.

    Rob Witham: I hope NOT!! Until BSA has Membership numbers that connect between Councils and Digital Records that follow you throughout the Country, Blue Cards MUST stay!! Military Boy Scouts are most effected by this. Without Blue Cards, Scouts who move have a hard time proving what they have earned. When you move from Council to Council, your Membership number does NOT move with you meaning your Digital Record doesn't move either. It's a mess when a Military kid shows up and swears he did X Merit Badge but doesn't have a blue card to prove it.

    Not only that, what do you do when your on a 5 day backpacking trip, and different Scout work on different merit badges during that trip. Some meet requirements for cooking, others for hiking, still others work on astronomy, or bird watching, do you really need to remember who did what to input in Scout book when you don't have a Wi-Fi connection.

    I don't see blue cards going away anytime soon, at least not until Scout stop going in the backcountry, or the entire country is covered by a Accessible Network.

    Ed-thanks for the iOS tip. That's exactly what happens to me and to know there is a work around is great!!!

    Becky - One of the great things about scoutbook is that you can take your digital records with you! It's as easy as changing the unit number, council and district and it will show up in the next unit. What if that unit is not using scoutbook yet? No problem! The unit they are leaving can give the parents full access and they can have it on a free or family account.

    I still like the idea of paper backup for everything. Rank cards, blue cards etc. Glitches could happen and human error still exists. Best a scout make sure his actual book is signed and keep all documentation until after he has earned his Eagle Scout or any other award he is going for.

    SO am so glad to hear multi payment log entries are coming, and sincerely hope that calendar is next. Any new user means editing every calendar to add them which is time intensive and lends to a dread feeling with new volunteers, youth, etc joining and that is just wrong. Need an All Den, All Leaders, All Pack so the new user will be auto added to events. Also, ability to attach a file to the event.

    The calendar is a huge asset, but is easily a liability currently.

    Also, Cyber chip needs to be recharged ever year, so when we update the completion date the needs purchasing report should have a card on it. (1st training they are awarded a badge & card, every year afterward they should get an updated card)

    Need to work out the Needs Approval process. Items can sit there forever and parents don't know the leader has commented. Should be some way to notify the parent. I think also the parent is marking partials to track an item in progress - a partial or started option would be LOVELY.

    I'm especially excited for the IA-Scoutbook integrations. Putting all data in one online location is very appealing. I created an advancement report for the scout office last week and they said my form was updated.

    I'm excited about improvements to Scoutbook. It has been a godsend for me as I have had some rapid expansions - my unit increased in size by about 25% this year due to a great recruiting effort and the addition of Lions. My old methods of pen and paper no longer kept up.

    I REALLY need the quick add for payments, and improvements to the calendar system. With those things it would be a 10/10 for me, right now it's probably an 8.5/10.

    Jenn, I have been able to directly confirm with both your Registrar as well as with the Scoutbook developent team that your Unit was not in the database that Scoutbook uses to add newly formed Units. The fix for this has completed testing (both the fix for your Unit as well as the long-term fix of a weekly upload of new Units into Scoutbook. The next expected date for a Scoutbook update is Tuesday morning at 10am Central BUT the Scoutbook Team is checking into a small earlier release just for this fix. Once fixed, I will notify your Council Registrar and she will activate your Council-paid subscription. Thank you for your patience. I will also update your post of Scoutbook's Facebook Page.

    Good going Scoutbook - it sounds like things are moving forward at a good pace!

    May I make a very humble suggestion, and this is from someone who doesn't know how things work much from your side, and so this may be wildly impractical, but here goes.

    You guys are working a lot on system functionality, syncing with BSA, etc. and that is great. But these aren't "fun" fixes that when we see them we think, "AH, yay, that annoying practical thing is finally fixed!" So, as you are making all the big fixes, can you each week throw in a "little" but visible fix, like maybe small fixes to the calendar (like giving us more options to "event type"). It doesn't need to be comprehensive fixes, but I'm sure you have a long list of suggested tweaks that people keep asking for that affect their day to day use of Scoutbook. As much as I love to see the big fixes for speed and functionality, its those little fixes that affect all of us (calendar fixes are for everyone) that make you happy to see the (1) in front of the Change Log. Plus those make that number in front of Change Log go up to 2, 3, or (gasp 4), which also makes us happy!

    It would be nice to have a more seamless transition between Scoutbook and Excel. Due to issues with wifi and internet connectivity many of our leaders still use excel quite heavily to keep track of Scout advancement and badges. It would be nice to seamlessly transition between the 2 programs. Scoutbook is improving a lot, but it still has a long way to go for user friendliness and whatnot. It doesn't happen overnight, keep up the good work. Apps we can pull up on our phone/tablet would be helpful as well.

    Thank you, Tony, for reemphasizing that there are many roles and many volunteers in the Scoutbook User Advisory Council (SUAC). Importantly noted in this Scoutbook Blog is the fact that there are way more volunteers in the various groups within the SUAC than what you physically see here.

    It is the Forum Support volunteers that will be identified in the Forums so that new Users can immediately identify those with a long-standing record of consistent, complete, and understandable support posts. It is a "patch with a purpose" specific to the Forums and not an identifier denoting that the User is helping to support the Scoutbook Community in other capacities.

    "Forum Support volunteers of this group will be identifiable within the Scoutbook forums by a SUAC icon. Many volunteers of the SUAC will still support Scoutbook users in other ways. This group has been and will continue to be invaluable to the support of Scoutbook."

    For that matter, one of the best benefits of Scoutbook is the 24-hour round table found in the Forums. Any Scoutbook User can "Do a Good Turn" by helping out fellow Scouters (and Scouts) by staying active in the Online Scoutbook Community.

    Thanks again to great volunteers (like Tony) across the BSA that are out in their Councils, their Districts, and their Units supporting the Volunteer-based movement of Scoutbook!

    We keep a separate sheet of small items to be addressed that the programmers get to when they can. Feel free to post a thread in the Forums if you have something you feel is small and could get fixed quickly. We will leave it to the programmers to make the final call on it, but if they don't know about the need, it will remain unaddressed. When you post there make sure you put in as much information as you can about it.

    Margaret Chalmers' suggestion is excellent. I *am* one of those people "who know how things work on the other side," being a software developer for some back-end server applications, client UIs, and games played by millions of customers. The advice to put in an improvement that is visible to the client in every update is one of my mantras. Developers don't need to know which specific feature to put in so long as they have a task list - and they do - at least partially generated from feature and fix requests and are free to choose at least one to finish that is nearing completion. It can be a big or tiny feature. Someone will notice and say "Cool!"

    @William Nelson - the reason I posted it here is because of my lack of knowledge on your side. My idea of little and y'alls idea of little may be two entirely different things! What may look like an easy fix to me may bee wildly complicated on your side, and other than suggesting that the "little fixes" start with visible changes to the calendar and that this would make many of us very happy, I hesitate to be more specific. However, if you think that reposting my suggestion on one of the forums would be useful I'm happy to do it. But since it isn't a specific bug, or a specific request, I wasn't sure where it would be best to post. If you tell me where your programmers are most likely to look to pick this up, I'll repost there. Thank you!

    Out of curiosity... what happened to the adult awards? For the longest time it was "coming soon" when you clicked the tab, now the tab is gone. Did you just decide to forego having that feature?

    Brandon, the SUAC asked that the link be removed until such time as adult awards are added to Scoutbook. The same was done with pack, den, troop and patrol awards. They are all still on the list of future enhancements, but having the links with the "Coming Soon" notation, gave the false indication that these awards were actively being worked on.

    Trialing this now for our Pack. Mostly impressed, but a few things lacking. Training and advancement show differently between Pack Leaders/Dens and at individual levels. Also, echoing the need for notifications on events, requirements, etc. Wish there was an option to receive event responses via email or text. Should not need to log in to check on updates or responses from parents.

    Two questions:
    1) How soon can we expect to see the changes reflected on Scoutbook.com?
    2) How will programs track "this version vs. that version" for programs that are mid-year? Will we have a "2017" tab akin to the "2010" and "2015" tabs?

    On the subject of the Calendar...we input our calendar for the next program year during November/December. Everything. When the new Scouts come in in February/March, we have to go into each individual event and update new Scouts, Scouters and parents to receive notifications re: upcoming events. Is there anyway other way to get the new folks linked into the communications without having to go through what amounts to an extremely laborious process, event by event process?

    There has been plenty of news actually. The Blog is not linked to update notifications as well as the Forums and the Change Logs, etc. So, going forward, the Blog will only have periodic "stories" posted to it since the Users do not receive any notifications of Blog Post releases (and no one receives notifications of comment posts automatically either). The Change Log and Forums are a much better means of communicating to all of the Scoutbook Community.

    It would be a very sad disservice to many hard-working professionals and volunteer Scouters (many of which worked and volunteered long hours during the holiday season) to presume that nothing has been happening.

    Not only is that just in the past 3 months (really 2 months factoring in the holidays), but that is also during a period of training some new Team Members. In fact, some of the items above were able to be implemented as a part of the training process for familiarizing those new folks.

    So, stay tuned to the great updates posted directly in the Change Log. These updates can be SUBSCRIBED TO (whereas the Blog cannot be). As the Boy Scouts changes for 2017 (Ranks, Merit Badges, etc.) are in testing now, expect to see those shortly as well. The finalization of the Advancement SYNC project among other initiatives will make 2017 a great year for the Scouts and Scouters that use Scoutbook and for the Scouting Community as a whole.

    Frank, that is correct. There are many things that have been released and are being released continuously. There are more things that are in the works and many more things that will be considered as Development Time becomes available. Other than JTE and a later restructuring of the report builder, your list above is not on the impending scheduled development list.

    Perhaps they should be. I know I'm not the only one that have been begging for them. There's been requests for these things that predate our signing on to Scoutbook, and Scoutbook refuses to put any priority to them.

    There are hundreds of items that have requests for them. These are not among the highest in any way. The Advancement SYNC project and the ability to support all program types through Multi-Registrations (Venturing, Exploring, Varsity, Sea Scouts, Den Chiefs, etc.) are massive request items.

    It would be disappointing to continue deferring the major requests for all of the hundreds of things that also exist among the User Requests. Once these large projects that serve thousands (actually tens and hundreds of thousands) of Scouts are completed then some of the smaller items will move to the top as well.

    With all due respect, with the exception of the Complete Angler the brief list I made would serve every scout using Scoutbook (thousands, tens of thousands, and hundreds of thousands.) Scouts do more than camp, hike, and serve. Only Scoutbook seems to refuse to acknowledge that.

    We have been using scoutbook for over a year now and I have become very disappointed in slow delay to improvements or changes. As the scoutmaster, this program takes an inordinate amount of my time to fill in, update and operate. As seems is typical with most BSA stuff at the national level, things are so poorly operated and poor decisions are made (my.scouting.com vs myscouting.com). Please don't let Scoutbook.com be another one of those poorly implemented and operated programs......which I fear it is becoming. I approached our troop committee about exploring another software package or returning back to using troopmaster. Please put more focus on rolling out improvements to scoutbook for Boyscouts and not the Cubscouts. I'm not sure if ANY new features have been rolled out in the last 6 months at all!

    Note that we just made changes reflecting the updated requirements for 32 merit badges, two Boy Scout ranks and added Exploration merit badge.

    I wish there was the feature of quick entry for finances. It would be so much easier to be able to put dues and camp fees in at one time versus each individual scouts account!!

    Also, Blue card printing... why is the PC print still not an option????

    I just signed up and have been playing with the system. Looks really great so far. When this blog was posted nine months ago, you had Quick entry for payments on the list. Has there been any progress on this? In addition, another possible suggestion is to have a three fields in the Creating calendar event. Cost/Due/(RSVP/Required). If you are scheduling when Dues payments are You can enter the Cost, the date(in this case the same as event date) and select Required. This would now add this payment to all active scouts in the unit. If you are scheduling an outing that requires a payment, enter the cost, the date the payment is due(normally a couple of weeks before the event) and select RSVP. Thus the payment could then be included to each scout who RSVPs Yes and would reflect the event, cost and the due date of the payment. I do not know how difficult this would be from a software side, but it would make the communication of what is due when very easy for my particular example. Thank you for your efforts and look forward to enjoying the "fruits for your labor"

    I notice the quick payment mention was a year and a half ago? Any progress on this at all? It should have been fixed soon after this blog started. It is still desperately needed and extremely over due. It would be nice to add the cost when creating an event and when a scout or parent responds that they are attending that event, the payment due is instantly generated. Entering each scout payment due one by one waste's a lot of time we don't have as treasurer's. This was a huge miss from the get go on the developer's of scout book.

    Would love to get Payment log into the quick entry option. Also improvements on calendar: option to allow an event to be repeated. Another option to copy an event. The other main thing is when a new scout is added to scoutbook and the calendar has all scouts picked, that new scout will not be automatically added, that source code needs to be fixed!!!! That is a big pain to have to add a new person to every event already created!
