Welcome back from Summer!

Based on recent site traffic it is clear that Scouting is back in full swing in Scoutbook!  We also passed, yesterday, an important milestone for Scoutbook - 1,000,000 connected users.  Yep, a million Scouts, Scouters and families using BSA's unit management tool.  The Scoutbook team would like to thank all of you for your support and continued usage and personally I would like to thank Shawn Jackson, creator, for his vision and continued involvement as lead developer.

The flip side of this increased user base and return to more active Scouting/usage of Scoutbook is that we have recently had some unacceptable site performance.  Many of you may have noticed slow response, especially during the evening hours.  For this the Scoutbook team apologizes.  We are aware of the slow performance, have identified a number of actions which will help speed things up and the team has this as our number one priority at this time.  Please be patient as we work to improve the situation.

Last Friday we made an unannounced change to ensure that all parents were copied on emails sent to youth members.  In making this change a) we failed to give users proper prior notice and b) we inadvertently took away the legitimate ability to use the BCC function, hence all email addresses were visible when emails were sent.  We should have communicated the change in advance, sorry, we will do better in the future.  The BCC functionality has been reinstated effective yesterday.  Parents will continue to receive a copy of all emails addressed to their youth member.

Two reminders:

  1. Passwords:  Beginning tomorrow, 9/15, all Scoutbook users will need to have passwords which comply with the new complexity standards announced previously.  This has already been implemented for new user accounts and password change requests with little fanfare.  Current users will be required to change non-compliant passwords when they login beginning on 9/15 if they have not already done so after 9/1.
  2. Membership ID:  While completion of the advancement sync has taken longer than expected it is still on the Scoutbook roadmap for this year.  When implemented, only youth with a member ID in their profile will be able to participate in the sync.  The sync eliminates the need for leaders to export advancement files from Scoutbook and then upload them to Internet Advancement so the sync will be a definite time saver for leaders.  Take full advantage by making sure every youth has their proper member ID in their profile.

    On the lines of "Internet Advancement" bi-directional syncing, is there anything on the near horizon related to updating training? All the adult training modules in ScoutBook are related to the old on-line course codes (C42), not the new course codes (SCO_200)?

    I just started using this about 2 weeks and trying to get a feel for what it has to offer and how to use it. Someone(s) have put good thought into this much needed tool. Thanks

    I did receive a email from a forum post yesterday that was offering me a VERY INAPPROPRIATE service. I have not found a way to do this as of yet but I thing there should be a link where to a person so that this type of thing could be easily reported.

    Anthony, thanks for noting that. The item was reported almost immediately (yes, in the middle of the night) by members of the Scoutbook User Advisory Council (SUAC) volunteer group and it was removed (and the User was removed) almost immediately upon the Operations Department opening in the morning. Then the SUAC members confirmed the removal from all locations.

    I believe that rolling out mandatory cc to parents makes many of the tenets of scouting less achievable and in throws the baby out with the bath water. I do applaud making YPT easy, but in the age of scout-led, I need an option to perform YPT compliant communication without cc-ing parents. The easiest example, before anyone think I am up to "no good," is communication with the SPL about events that THEY NEED TO PLAN! In this age of helicopter parents (and scouters know what I speak of!), I would rather have scouts fail and learn than be constantly motivated by parents. This change is BAD. I am all for YPT, but not at the expense of regressing Boys Scouts or Venturers back to Cub Scout-styled behavior. Add a flag for YPT preferences, if it is blank, sure, send to parents, but otherwise, let me communicate with scouts via the team of ASMs or the commchair, or even allow the option to even send to "aforementioned leadership (or a defined YPT group) minus their parent!" Give us OPTIONS.

    I like the idea of options and that has been discussed (but would be a future development item due to the complexities that "options" that have to be checked on every message for every message send would add.).

    Obviously, copying parents/guardians (which has universally been true since Scoutbook started other than this one missed "bug" of when the Scout initiates the message) is one way to avoid "no one-on-one" contacts. As you note though, BSA policy does not mean a parent MUST BE included on all communications. Two leaders and a Scout or even two Scouts and a Leader communicating complies with "no one-on-one" as well.

    Glad to hear that BSA is finally looking into increasing the hardware behind Scoutbook. Our Unit finally made the switch to Scoutbook this year and the only reason we switched to Scoutbook was because of the upcoming advancement sync and the fact that BSA now owns it (That and Bob Scott is awesome!). When we tested Scoutbook prior to the acquisition it was too slow and at that point and we decided against it. The hardware upgrade should have been first priority since day 1. I would really like to see BSA improve all of their website and host their sites in multiple data centers across the US and use geo-ip to load balance their sites. Scoutbook is not the only site BSA has that suffers from lack of sufficient hardware.

    Can't help but be very hesitant to give out accounts to parents as their first time experience would be "horrible", and first impressions are critical in trying to get adoption. I've really emphasized use of it this year and am really bummed with how it has turned out.

    I really hope the scalability issue gets addressed sooner than later. It makes the site very ineffective right now. This is a really big failure on the part of the BSA.

    I am very concerned as the site has always had scalability issues and has only gotten worse. This should have been a top priority and have been very well funded by BSA when the decision was made.

    Scalability isn't the only issue Scoutbook has. We've been on here a year and a half, and the only noticeable "improvements," if you choose to call them that, is a payments log we don't use and some color changes. Still no logs for aquatics activities, no logs for riding activities, no functional reporting and/or printing capability, no integration of awards with required merit badges, no indication that anyone on the development side even acknowledges these issues, and it moves like it's dragging an anchor most of the time. 1M users doesn't impress me. The appearance of any of the hundreds of features for which we've been begging would be a far grander statement of improvement, growth, or advancement. It really doesn't matter how many people are on the bus or how fast the wheels are spinning in the sand, we still don't seem to be going anywhere.

    I really hope the above statement is true and the speed of this website improves. I cant even access our account to log updates for our upcoming family night. We have invested a lot of time and money into the program and I am currently unimpressed. I had to convince our troop to make the switch from Troopmaster, and now I am wondering if it was the right move. I really want to be able to use the exciting features this program offers, but I can hardly get passed the login screen.

    Scott F -- Thanks for the quick response my post as well as what appears a quick reaction to undesireable content. Great Job! I have to echo the disappointment with the long slow sluggish performance when trying to do something. I paid for this years subscription to test this site before pushing it to the Troop. I love the features that appear to be there but the wait time is ridiculous. I was using Scout App (Eagle Bound) but it appears it has been set to sail off into the sunset. 2016 updated material is not all there and some that is there is not correct. It did not allow for parental access for them to follow and love the features where the boys/parents enter info here and I get notice to approve......just like in the book. What a concept. Really hoping this gets the attention and resolution it deserves QUICKLY.

    Does Scouting want help from those of us who are familiar with optimizing and scaling web scale systems at load? I don't feel like Scoutbook has ever been super fast and its just worse since the BSA has been involved. Having said that, it's the very best system I've seen for tracking our Scouts, and for that, I thank you. (As a paying customer, I don't enjoy or expect slowness either.)

    Just went through a password reset with my initial logon this morning. Not a biggie for "me" as I was already aware and prepared. BUT - I realllllllt think you should have the NEW password requirements POSTED on the page asking for a new password! All it says is enter old password - enter new password. UGH. I can see my parents reallly struggling with this trying to know what is and isn't allowed for a password now. Shouldn't you have the requirements there on the page asking for a new password?

    Anthony, it is our pleasure to monitor the forums to protect our Scouts and Scouting. Not sure the SUAC members sleep much sometimes. Heh.

    You are right, it is definitely great to be able to have a system that electronically works <basically> like the Scouting program works. Scouts able to track themselves and Leaders able to easily approve and take care of things from there.

    ALL of us volunteers are anxiously awaiting being able to use the great features of Scoutbook without the sluggishness we're experiencing over the past week-and-a-half. Only the professional BSA Team are able to work on the actual system of Scoutbook. Security is very stringent. The SUAC members volunteer time and some members are tasked to test a "snapshot" of development changes (often finding out what will be tested the day or two before it is set to go live on Scoutbook.com). However, we are unable to help test speed improvements for the most part because the improvements must be live to everyone to be able to test their effectiveness.

    We do know (just like everyone here knows from Bob's forum post above) that BSA is working hard on this topic as the #1 focus right now.

    Is this why a Tiger den was added to our group? We already have a Tiger Den. Now we have two very small tiger dens. The one that just "showed up" only had 1 boy in it. How do I merge them into 1 functional organized den for the new leader?
    Suggestion- we have to use a separate service for signups- Signup Genius. Is there anything in the works to have a feature like this integrated into Scoutbook?

    Please get the site performance fixed ASAP!!! Our troop is beginning to have second thoughts about this program. I have over a hundred scouts and accompanying adults beginning to lose patience. I can't even get into Scoutbook at 10:30 in the morning.

    Susan, you can typically go into the den you want to keep, click add scout > connect to an existing scout. If this doesn't work or there is more to the story, I'd suggest posting in the using Scoutbook forum where it will get more visibility.

    There is nothing like signup genius integrated with Scoutbook. If any of those services allow you to provide a URL, you could put that into a calendar event.

    Have been using this for a year as a parent/leader just tracking my son. The pack is not using it. Just entered dates of completion for Tiger adventures, entered date Tiger badge was awarded, and program is not rolling my son over to Wolf....No new adventures appear or guidelines, even though he is listed as 100% completed Tiger. This is NOT user friendly for parents tracking cub scouts. Not sure what I'm missing. If anyone has suggestions would welcome any hints. or I'll too go back to pen and paper starting this Wolf year since can't get the Wolf requirements to appear.

    Just composed a long email message, then clicked the button to insert upcoming events... Sick feeling came over me as I could see an error was about to occur, and sure enough I lost everything I had typed. I guess I should have known when the entire site is dragging along like a truck with three flat tires, and should have highlighted and copied my text first. TONS of things I could do in Troopmaster that Scoutbook doesn't even seem to have in their sights (reports anyone?), yet they have the time to worry about my password being stronger?

    I put my faith in Scoutbook, and advocated for our troop and pack to leave Troopmaster since this was going to be the official BSA system. I am extremely let down, and it wasn't just over the lost email. That was just the last straw. I can't afford to waste mine or other volunteer's time.

    If you are using Scoutbook and have never tried Troopmaster, you should. They understand how things should actually function in an advancement tracking system. They have been doing it for MANY years. Troopmaster may not look as snazzy as Scoutbook, it may not be perfect, but I used it for years without the amount of heartburn I've gotten from this "attempt".

    Terri, I have heard back from the development team. Your issue has been acknowledged as a code problem. The recommendation is you create a 30 day pack free trial and make yourself a pack admin while they fix the code. After you have the trial setup, go to your son's den, select Edit Den then press the Advance Den button. This will make the den a Wolf den and you will be able to add your son's achievements for this year.

    The usability of Scoutbook's email feature has been marginal at best. The inadvertent ability to see all the email addresses in the string was actually a positive for the program and provided the ability to REPLY TO ALL; a feature that has been lacking. Under normal circumstances, there is no way to know who received a group email unless you personally sent it which is particularly problematic when it comes to Committee issues.

    While I respect the desire for individuals to keep their email private, there needs to be a mechanism in the program to allow a REPLY ALL to emails received through the Scoutbook system so that email conversations can occur once the initial message is delivered from the system. Otherwise the system need to be circumvented.

    Since you guys are built on AWS, why not take advantage of autoscaling to add and subtract servers during peak times to improve performance? You only pay for what is being consumed. You can set it up so that when you have X% or utilization, it automatically adds servers and scales down the same way.

    Congratulations on the milestone. And I, for one, appreciate the return of the site performance. Thank-you.

    I have a question, and this may be the wrong post to ask it. I'm a novice when it comes to blogs and blog searches.

    I'll ask anyway...

    As a Webelos Den Leader I have been using Scoutbook. I like alot of what it allows me to do, particularly Advancement tracking, service hour tracking, and sending reminders to my boys.

    I am an ASM in our Troop. Several of us would like to consider using Scoutbook. There are concerns that the Boy Scout side does not have the same functionality as the Cub Scout side, in particular Advancement tracking, service hour tracking, and Leadership position tracking. Our Troop currently uses Troopmaster, and these functions are said to be crucial. There also seems to be concerns regarding the recharter process, and syncing records with the main BSA database.

    Is there someone or someplace that addresses these concerns? Is there a way for our Troop to trial Scoutbook alongside Troopmaster to see if Scoutbook really does do all we need it to do?

    Chuck, all of the Boy Scout features that you mentioned are available in Scoutbook. The best place to go for help is the Scoutbook Forums.

    You can get a free, fully functional trial subscription to Scoutbook. Again, the forums are the best source of information on setting up a trial.

    Thank-you for your response. Reading through some of the earlier posts got me a little concerned that Scoutbook may not be a good solution for our Troop. I would still like us to give it a try.

    Regarding Scoutbook Forums: Is that an "official" web site, or are they a collection of interested Forums started by users? I am presuming the Scoutbook Forums are not found within Scoutbook.

    I apologize for the lack of understanding. I tend to stay away from social media, and only venture, when absolutely necessary, to Blog and Forum sites. They are usually too difficult to navigate and it is too easy to chase down rabbit holes.

    I appreciate what you and others have done to assist us, particularly those who are less technically inclined.

    Chuck, the forums are primarily monitored by users and the volunteer members of the Scoutbook User Advisory Council. Some BSA employees do read the forums but the vast majority of the help is provided by users.

    Thank you for all the hard work you're putting in to continuing to improve Scoutbook.

    I have a suggestion for an improvement I ran in to today. The ability to attach files to a calendar event would be fantastic! Our pack posts all of our local council events on our calendar for our families to keep track of more easily. However, because it is not our event we do not control registration and would like to make finding registration instructions easier than having to search for an old email.
