Happy Friday!  I'm sure you are all pleased to know my move went well -- but the boxes in the garage seem to be multiplying!!

We got thru the first week+ of beta testing!  Thanks to Scott Fisher and his team.  They identified around 2 dozen bugs - about a third have been fixed at this point, another handful are fixed and staged to go to the bata server today and the balance are being worked by our partner, Asynchrony.  The beta 1 team will continue their testing and we will be gradulally adding users to the beta server over the next weeks.  These additions will be by invitation and will be at the unit level.  Shawn is currently working on a list of potential units to invite.

Well, the dreaded multiple email bug came back this week!  And was quashed again!!  It seems it was associated with settings on multiple servers that were out of sync.  We think we have this solved but keep those cards and letters coming when you see something amiss.

The team has also been working on how to bring improved performance to the current site during the code freeze.  Thanks to Shawn and Asynchrony for their cooperation in this effort.  We hope that users will notice two improvements:

  • Forum responsiveness.  Changes were made both to the production website and the beta site to improve performance.  Average response time was running at 15 seconds.  Now the average is 366 ms with peak usage response at 2 seconds.  Better but we will continue to work on it.  I've got a great graph that shows all this but even the product owner can't copy an image into a Scoutbook blog.
  • The performance and functionality of the main calendar page has been reworked.  Users should see increased responsiveness of the calendar and for those users who have not used the calendar in the past couple of months, a pop up will guide usage.  The calendar, as most of you know, is a great tool to keep your unit together.  Busy families need the support of a well documented unit program.

Growth continues.  We were at just under 497,000 users this monring and Shawn is predicting we will hit 500,000 this weekend.  This resulted in some slow performance during peak periods Wednesday night.  Our BSA operations people reacted Thursday morning by changing to bigger, faster servers in the BSA cloud so if you experienced this Wednesday night, it should be taken care of now.

    Bob Scott - Are we suppose to be promoting scout book with our parents are is the program not ready to be rolled out to a troop. Right now I am waiting some what patiently to get my two files Adult.txt and Scout.txt upload to Troop 345 dashboard / site. Any eta on when that may occur.

    Do you have any training materials for parents, scouts, other leaders ect for scout book? PowerPoint ? At this time I make a dummy parent and scout in our roster to show them.

    Bob, a very hot topic on the forums is lack of written documentation. Even though the interface seems friendly, it's some times a chore and counter intiutive for leader & parents to do basic administration tasks. Some other points: when will the calendar be out of beta, support recurring events, attendance tracking and importing a .CSV file? The payment log needs to be re- worked to support imports, and payments/deposits from PayPal. A code freeze during a time of explosive growth is never good- when will it be over?

    As a Cub den leader just wanted to start with a big thanks! I'm doing a better job than ever and it's thanks to this tool.
    I use Scoutbook exclusively from an iPhone and I'm on it all the time.
    It seems to work better with Safari than Chrome.
    When I create a den meeting in the calendar, the manage advancement only gives the old program. Is this on the radar? Is there a resolution date determined?

    Thank you, for the blog posting. It's amazing how our complaining and despair about scoutbook can turn 180 with some open and honest communication. The only thing worse than bad news when waiting for fixes is 'no news'.

    @Linda, whether or not Scoutbook plans on putting the new Cub Program adventures into the current format of the calendar module should reach more clarity at some point (frankly not positive how soon). However, the final format of the calendar is still in Beta Testing right now so the final format of the calendar itself needs to be finalized first.

    Rest assured, the Scoutbook Team (all the way up to Gary Butler - Deputy Chief Scout Executive) all have the calendar in our minds as a top priority once the successful transition to scalable cloud hosting is completed and the temporary freeze on changing code that would affect the ability to test server changes is lifted.

    Continue to refer often to The Scoutbook Blog that Bob Scott (Director of Scoutbook) has been posting weekly (like this one) for the latest in new releases, bug fixes, and future plans.

    @Ruth, If your parents are unable to view the Payments Log then it is likely that your Unit has the Parents' privileges restricted. Scoutbook is designed to function best when the Parent of a Scout is set to "Full Access" so the Payment Log is restricted if the Parents' privileges are restricted.

    I have looked for an update on the release of the Varsity Team & Venture Crew subscriptions... I found forum posts that indicate the venturing subscription is in beta Testing, but nothing on the Varsity Subscription...

    Can you offer some guidance on when the Varsity & Crew subscription plans will be released? What is the probability that they will be released before the end of 2015?

    Sally, Lions is still a pilot program. I don't expect to see anything but the current support until it becomes a national program. The current support is to allow younger scouts to be entered into Scoutbook. What I do is create a Tiger den and name it "1 Lion" to distinguish it from the regular dens. Since we are not tracking anything for lions and my pack only uses Scoutbook today for advancement and award tracking, I do not approve any of the lions. They still appear on the roster so I know who the scouts are. When it is time to advance the dens, I do not advance the Lion den since it is already marked Tiger. The only change I make is to remove Lion from the den name.

    Can you look into using something like UserVoice.com for bug tracking and feature requests? The ability to vote up and down the important feature requests is critical to understanding what the community thinks is important vs your internal priority schedules. The forums are great but feature/bug tracking is not one of them. It's a mess to figure out how to +1 or even find if someone has requested a feature and what the comments are around it. I understand the challenge you have but right now I can't imagine going through and making sense of those parts of the forums.

    @Lawrence: The Scoutbook webinar a couple of weeks ago mentioned something about tutorial videos becoming available in the near future.

    I have been creating my own screencasts to share with my leaders and families. If you have the means to do that, it's a viable (yet time-consuming) option.

    There are some Scouters who have been kind enough to put tutorial videos on YouTube. Search for "Scoutbook" on there and find a few overview videos that might help. Some are better than others, so I'd watch a couple before deciding which link to pass on.

    I would share my tutorial videos on Scoutbook, but they are created with live pack data, so I don't want to reveal my families' personal data.

    Since I have had no luck attempting to contact Scoutbook via the forums or via email sent on September 12, and because there appears to be an active audience with authority here, I would like to also submit the below plea here so that our Pack can begin using ScoutBook or resign ourselves to our existing PackMaster subscription...

    Pack 55 Rockport of Great Eastern District, Spirit of Adventure Council (formerly Yankee Clipper Council) needs to be differentiated from Pack 55 Methuen of Northern Light District, Spirit of Adventure Council.

    I have been asking several questions via email and through the forums and no response. I have been chosen to be the led for ScoutBook for our Council along with Commissioner and Unit Tools. I am happy to do this. But the questions I have been asking is the same as I am being asked in the field. It is not very good for the guy doing the training doesn't know? Hopefully you can be of assistance?

    @Bob Richard, where in the forums did you post these questions? I just looked through the first few pages of the Using Scoutbook forum, the primary place to put "how to" questions and only see 1 thread that does not have any responses. Granted, I only looked at thread counts, not the actual threads. If you can point us to your questions, some of the other volunteers and I may be able to get you answers to questions we may have missed.

    @Bruce, I am a UC and use SB to keep track of the Pack I am commissioning. There is a leadership role for UC in the system. The unit has to grant you that access, the District Key-3 do not have access to do so. If the unit that you are commissioning is using the system, I suggest that you talk to the unit Key-3 about granting you that access. It has been a great tool for that purpose (I am tracking advancement percentages and unit leadership trainings).

    As a long time user of Scoutbook, I have been asked to teach a segment at a Commissioners Conference (Oct 4, 2015), now the only problem is what to use to teach "Scoutbook in the Unit" so is there a generic anything I could use to spread the word and Educate my Council's users and Commissioners? Anything would be helpful. I know lot of you here have a vast knowledge of this system as do I but I only utilize the troop portion, and Waiting for the Venturing. It would be helpful to get material from the source. I will reference the latest Live Stream that was broadcast on Scoutbook and the future plans for it.

    Please start a Forum Thread in the Using Scoutbook area that DETAILS what you are trying to accomplish and where you are hung up. I assure you that there will be a ton of response from the Volunteers walking you through getting up and running straight away.

    @Aaron - you are a ROCK STAR (as are all Unit Commissioners -- but especially you!)

    @Bruce - follow Aaron's lead. I also have the Unit Commissioner position approved by the Scoutbook Admin of the Unit I am Commissioner for. You will be able to REALLY Interact with and Mentor your Unit as Aaron notes above by using Scoutbook as a service tool.

    Chris, I asked for our someone at our council to walk through advancement reporting with me. Once we went through it and did a little digging, I went home and followed my notes. After a little troubleshooting I got it to work and it's fairly simple. It's one extra step than what Scouttrack did for us, but I like that it will show you any errors so that you can correct them to prevent future problems.

    Thanks for starting up the blogs - very helpful! Our pack has been using Scoutbook for a couple years now - great to see all the enhancements. Question - I was entering new scouts yesterday and ran out of slots in my subscription. I paid to upgrade to 10 more scouts through the Paypal portal I was directed to, but I haven't seen the change reflected on my account. I'm unclear on how to get direct support for these sorts of issues with Scoutbook, but would like to resolve so we can enter advancement for all our new Bobcats prior to our next meeting!

    Sharon, I have forwarded the request to the Support Team. Sometimes a User's browser just doesn't "pass along" the info from your PayPal payment correctly (i.e. Automatically) so the Scoutbook Team has to set the increase manually.

    Rest assured they will contact you ASAP as they work through today's items.

    In the future, there is a handy "Contact Us" in the Help Section that will automatically identify common questions as you type (therefore often providing an instant solution) and then if you still have an unsolved question you can submit it directly to the Scoutbook Support Team.

    I hope that assists your needs and CONGRATS on growing your Pack!

    Just started up with scout book over the summer and are test driving its functionality. It is great and I love this program. However, as I am getting my parents to sign on they are constantly complaining about 10 -15 min load times. While in my experience this is an exaggeration, I am experiencing significantly slower function than over the summer (1-2 min) I am not sure if it is all the additional users, or just the "code freeze" whatever that means to this digitally illiterate cub master. I am afraid if we do not see speed improvements they will never vote to get us off of scout track. Anything we can do to increase speed on our end, or you on your end?

    Matthew, the "Code Freeze" just means there is no new development while they migrate to the new platform. The reason behind this is to improve the speed performance. There is active work being done on the back end, and more visible results will be coming soon. Keep watching Bob's blog for updates.

    @Bob, the code freeze was confirmed / announced in your initial blog post 22 days ago. I have not see any updated time-frames as to when the migration to the BSA Cloud is expected to be completed and the code free released so the various bugs can be fixed. Any time-frame would be helpful. Thanks!
